Selective Adoption

Last month at OpenWorld, I had the pleasure of sitting on a panel moderated by Marc Weintraub. In case you are interested, the session was CON8300: Real-World Experiences with PeopleSoft Selective Adoption. The purposes of the panel was to discuss and provide real experiences of organizations leveraging PeopleSoft Selective Adoption. I thought it would be beneficial to share with a broader audience the general direction of the questions and answers. I say general as there are no PowerPoint Slides to leverage, simply my memory of the questions and answers provided.

Question 1: What do organizations think of the new model of selective adoption?

Answer: For the most part we are now seeing organizations just beginning to put more of a focus on selective adoption. Many organizations upgraded to 9.2 and made the decision to address a selective adoption strategy at a later date, once 9.2 was up and stable. Organizations are now realizing that this is an entirely different process of receiving content, both fixes and new functionality, than has ever before been delivered with PeopleSoft. They are starting to understand the value and power of selective adoption and asking the right questions about how to get started with a strategy.

Question 2: Do organizations fully understand the magnitude of the change of the new model?

Answer: As mentioned, organizations are transitioning to understanding selective adoption more and more. They understand it is a fundamental change in the delivery model and that it is not just about bugs and fixes but how they receive new features and functionality. What we have not seen yet is an understanding of the significance of the change such as:

  • Impact on staffing
  • Impact on budgeting
  • What a new selective adoption strategy entails

Question 3: What are organizations asking about in regards to the new model of selective adoption?

Answer: For those organizations that are just getting started, the number one question is “Does it work?” Then followed by questions such as:

  • How is it different than previous methods of fix/bug delivery?
  • How do we get started with selective adoption?
  • How are other organizations addressing selective adoption?
  • How do we as an organization support applying updates more often?

Question 4: Where should an organization begin when starting with selective adoption?

Answer:

  • Research: There is a lot of information available out there. The PUM home pages on My Oracle Support (you will need your Oracle username and password to access these pages) along with the videos on Oracle’s YouTube channel offer a lot of information. Organizations should do their research to learn as much as possible about selective adoption.
  • Engage with a consulting organization such as MIPRO who has experience with selective adoption and execute a Selective Adoption Strategy Workshop. The workshops are designed to educate and provide that crucial direction on establishing a strategy.
  • Create a strategy specific to your organization. Not all organizations are equal or alike. There are unique constraints that must be accounted for that can drive each organization to a specific strategy. This is not a one size fits all approach.
  • Think differently. Selective adoption requires a different approach at the core even as far as how the organization is staffed down to a different budgeting approach. No longer is the organization budgeting for a large upgrade every 4 or 5 years, but rather continuous, smaller projects.

Question 5: Any lessons learned?

Answer: Make sure your selective adoption strategy is actually documented and published for the organization. It is a big change and can have tremendous value and the business as well as IT needs to be actively involved. Make sure your selective adoption strategy document contains at a minimum:

  • Maintenance strategy defined
  • Staffing defined
  • Image calendar defined
  • Communications plan defined
  • Selective adoption criteria
  • PeopleTools update strategy
  • PeopleSoft Test Framework approach

If you are in the same position of having upgraded to 9.2 with the objective of addressing selective adoption at a later date, your organization is not alone. If you have similar questions as noted in this blog, you are not alone. If you have not yet created your selective adoption strategy, you are not alone. But, know that with selective adoption, you must act and you must have a strategy. No strategy will result in not leveraging the value of selective adoption and you will be in the position of having a major upgrade in a few short years.

Utilizing PUM to Optimize your PeopleSoft Application

It’s More Than Just a Series of Mini-Upgrades!

PeopleSoft Selective Adoption will be a hot topic at the upcoming Oracle OpenWorld conference in San Francisco from October 25th-October 29th. While a significant number of customers have moved to PeopleSoft 9.2, a lot of them are still struggling to define their strategy for Selective Adoption. Many of the customers I’ve spoken with have not applied an image since completing the upgrade and their strategy going forward is to move to the latest image every year or two.   The reason? They feel their end-users are too busy to evaluate the new features and functionality delivered in an image. The problem? Customers are missing out on one of the most significant changes in Oracle’s delivery model – the ability to introduce new features and functionality into your business processes faster and more efficiently than in the past. With Selective Adoption, customers now have the ability to pick and choose new enhancements that can significantly add business value without having to wait on the next major release or an upgrade of the entire system. The customers who take the time to understand this delivery model, are willing to embrace it, and align their organization to adopt the change will be the ones to achieve the maximum benefit from their software investment.

PeopleSoft eProcurement on Mobile Devices

Remember when users had to use pen and paper to make a list and go back to their workstation to order supplies? Or field technicians had to return to the office to request additional parts or equipment? Those days are long gone! The Fluid User Interface (FUI) allows your users and technicians to order items while on-the-go and keep up with their approvals from their tablet or smartphone in PeopleSoft eProcurement. This on-the-fly functionality allows users to be productive whenever the need arises and from wherever is convenient. And we all know that time is a valuable commodity to any business.

Users and Technicians can:

  • Search for items
  • Access web suppliers
  • Add items to their shopping cart
  • Submit requisitions for approval

Buyers / Approvers

  • View and approve requisitions
  • See the line item details
  • View their history of approvals

Oracle OpenWorld 2015

If your organization is a current PeopleSoft customer or you are considering becoming a PeopleSoft customer, you do not want to miss out on attending Oracle OpenWorld. The event takes place from October 25th-October 29th in San Francisco and promises to deliver valuable information, including 110 PeopleSoft-related sessions and 11 PeopleSoft demo pods. Customers will be sharing their experiences with upgrades, selective adoption and fluid user interface.

Improve Your Efficiency with PeopleSoft – Part 2

Last week on our blog we talked about one way to easily improve your efficiency with PeopleSoft – personalized Homepage Dashboards! If you missed last week’s blog – click here to see what you missed.

Today, we are going to talk about another way to improve your efficiency even more with PeopleSoft Personalized WorkCenters. Workcenters allow your users to greatly improve their ability to manage and prioritize work. Below is an example of an AP WorkCenter Page.

WorkCenters also provide the same valuable information as a Homepage Dashboard. Down the left- hand side we have a space labeled “My Work” and it breaks down vouchers into numerous rows and additionally provides a row count for each row. Ultimately, this provides valuable information that users can see at a glance about their transactions. The section labeled “Links” provides easy access to menu paths designated by your users which speeds navigation. Within the WorkCenter, as with Personalized Homepages, your users can access query results with drill down capabilities.

The bottom line with Homepage Dashboards and WorkCenters is that you can clearly increase your efficiency and improve your effectiveness by better identifying your priorities. The best part is that setting these up does not require engineering new business processes or creating any new customizations. It really just involves taking advantage of and configuring delivered functionality. Now is the time to get started on configuring Dashboards & WorkCenters. Your users will thank you!

Improve Your Efficiency with PeopleSoft – Part 1

Looking for a great way to easily improve your efficiency with PeopleSoft and greatly improve your ability to manage and prioritize your work? Then you should consider configuring personalized PeopleSoft Homepage Dashboards and WorkCenters for your users. Today we will take a look at personalized Homepage Dashboards and next week we will cover PeopleSoft WorkCenters.

Below is an example of a personalized Homepage for a PeopleSoft Payables/Procure-to-Pay user that I configured.

The goal was to create a Homepage that would provide users with important information immediately after logging into PeopleSoft and help them quickly identify their top priorities for the day. In this case, three queries were built to identify key information for High Dollar Match Exceptions, High Volume PO’s and Top 10 Suppliers Outstanding. These queries all offer quick glimpses at valuable information and are available any time when viewing the Homepage. Better yet, the users have the ability to expand the data sets to show the full query results and the queries can also be configured for drill-down, for example the Match Exception query which has the blue links.

Homepages can be configured with custom menu paths for faster access to high priority menus. In this case, we created personalized menu paths on the left side of the Homepage for “Handling Match Exceptions”, a “Supplier Maintenance” section and menu paths for expediting payments with a “Payments Processing” section.

Although my example Dashboard was designed for users in the AP/Procure-to-Pay space, Personalized Homepage Dashboards can be configured for any user across all PeopleSoft modules.

Bottom line, Homepages can now be a valued assistant to help users prioritize and manage their work. Your Homepage can now automatically remind you of important information that needs your immediate attention and can be configured so that you can get to that work quickly. Your PeopleSoft Homepage will be much more than just a blank page that you see after you login to PeopleSoft, it can now be a powerful tool to help your users manage their work effectively and efficiently.

I only touched on a few of the Dashboard features. Homepages can also be setup with pie charts and bar graphs with full drill-down capability to the underlying transaction pages as shown below in this example:

PeopleSoft is NOT Dead!

Did you attend RECONNECT 2015, in Rosemont, Illinois? If your answer is “yes,” then you know what a great event it was. If your answer is “no,” we don’t want you miss out on one of our favorite parts.

Wednesday morning the day kicked off with the Oracle keynote in which Marc Weintraub, Senior Director of Product Strategy for PeopleSoft, addressed some of the most common questions from PeopleSoft customers and partners, as well as provided an update on the state of PeopleSoft.

Some key takeaways from Marc which MIPRO firmly believes & supports:

  • PeopleSoft is NOT dead.
  • Organizations need to understand Selective Adoption.
  • PeopleTools is more important than ever!

Auto Assignment Functionality

Automation has long been identified as a key indicator of progress – whether it’s the assembly line for building cars or the latest phone app – if we can automate it, we can become more efficient. By relegating those routine, repetitive functions to a machine or algorithm it frees us up to focus on more complex and/or important tasks.

With the release of  PUM 11, PeopleSoft introduced the new Auto Assignment feature that has the potential to save Schedulers a significant amount of time by eliminating the need to manually assign those reoccurring, routine work orders. The functionality uses a “Who/What/Where” concept. When structuring a specific rule, criteria can be set identifying who should be receiving work based on what that work is and where the work is to be done. In this way a Service Request can be converted to a Work Order and on the Technician’s Workbench within minutes without manual intervention. Further, this will be especially beneficial to the Scheduler for routine Preventive Maintenance work that is always assigned to the same Shop, Crew or Individual.

Through the new Auto Assignment and Dispatch tables you can set up rules as broad or as narrow as fits your business need.  In most cases the rule should be left somewhat broad to get the most out of the functionality. It should be the exception that a specific asset is set to be auto assigned – however, this could be valuable when that particular asset is under warranty. Here are just a few examples of types of time saving Auto Assignment rules:

  • HVAC PM Filter changes only are automatically assigned to the junior Engineer in the graveyard Shop.
  • All On-Demand and Preventive Maintenance work for a specific location are automatically routed to the only Technician for that building.
  • New equipment by Manufacturer ABC is under warranty for all service and repair for the next year, any Preventive Maintenance work orders can automatically be assigned to their preferred provider.
  • Technician A has been set up to have all lock requests automatically assigned but will be out on PTO for two months. The scheduler simply substitutes Technician B’s name confident that work will proceed smoothly.

Depending on how specific the Auto Assignment criteria is will determine how much maintenance will be needed. It is recommended that when setting up the Auto Assignment keep it as broad as possible while still keeping it as a valuable tool to meet your needs.

NOTE: This functionality is not yet updated in PeopleBooks but is identified in the PUM 11 and 12 releases.
