Advanced Query Security

Looking for more security out of PeopleSoft query? There was another little gem of a new feature released with image 20 – Advanced Query Security. It only captured a small paragraph in the image overview but is a nice feature to gain more security out of PeopleSoft query.

From the image overview document:

Added the Advanced Query Security feature, which is a framework that allows authorized users to set up secured fields for PeopleSoft queries. Authorized users determine which fields to secure for a query and the type of security for those fields, such as User ID, Role, or Permission List. Then they map the secured field name with the PeopleSoft field name and run the Apply Security process. Optionally, filters can be applied to the secured fields based on the PeopleSoft product name such as General Ledger, Purchasing, and so on.

Use some level of caution in selecting only the right level of experienced users who have access to this as to not impact the data returned on queries and potentially impact performance. But it could be a very valuable tool if applied selectively.

PeopleSoft Image 20 – Enhanced Fluid Approvals

Last week we talked about the new PeopleSoft Update Image 20 and the many new features included in this update (click here if you missed our blog). In this feature of Unfiltered we are going to highlight one particular feature: Enhanced Fluid Approvals.

With the release of Image 20, over a dozen approvals are available via the Fluid Approvals functionality, enabling approvers to complete approvals on the go with any device allowed by their organization via the Approval Tile on the FSCM Fluid Homepage.

  • Financials
    • Commitment Control:  budget journals
    • Expenses:  expense reports, time reports, time adjustments
    • General Ledger:  journal entries
    • Payables:  vouchers, payment requests
    • Receivables:  payment write-offs
    • Treasury:  settlements, deals
  • Supply Chain
    • eProcurement:  requisitions
    • Purchasing:  purchase orders
    • Services Procurement:  service work orders, service expenses
    • Strategic Sourcing:  sourcing events

It is worthwhile to note that with Image 20 update, LINE level approval is now available for the following transactions via fluid approval:

  • eProcurement requisition approval
  • Purchase order approval
  • Expense report approval

PeopleSoft Image 20 Released

Oracle has released PeopleSoft Image 20 – Financials/Supply Chain Update.  The release video above highlights a subset of the more than two dozen features contained in this image, including:

  • Fluid approvals
  • Fluid forms and approval builder
  • Multiple item image capability
  • ChartField modification by eProcurement mobile approval
  • Expanded General Ledger spreadsheet upload
  • Configurable supplier registration

It is worthwhile to note that several of the new features, particularly the new Fluid Forms and Approval Builder, Lease Administration Navigation Collection, and Mobile Fluid Approvals, require PeopleTools 8.55, while the majority of the remaining features require 8.54 or higher.

The release of this PeopleSoft Image 20 includes more than 2 dozen features/improvements, culminating to over 400 enhancements made across the FSCM suite since the release of 9.2.  Refer to the Cumulative Feature Overview (CFO) Tool for Financials and Supply Chain and PeopleBooks, accessible via www.peoplesoftinfo.com to learn more about these features and others from prior images.

Fluid Candidate Gateway

Some of the most highly anticipated and sought-after updates to the PeopleSoft HCM applications are those which further expand the utilization of the Fluid User Interface. None of these have been as important as those included in this summer’s PUM Image 18 which, among other updates, includes Fluid Pages for the Candidate Gateway.

The Fluid Candidate Gateway may be a prospective recruit’s first impression of your organization, and with PeopleSoft’s Fluid User Interface, you can be sure that their impression will be a good one. Whether they are at their home computer, on the sofa with their tablet, or on the go with their smartphone, candidates can research your company, and find opportunities for employment.

Improvements to PeopleSoft Procurement

Marc Weintraub (Senior Director of Product Strategy for PeopleSoft) spoke with Alexa Masters (Product Strategy Director, PS Procurement) to talk about the advancement of PeopleSoft Procurement solutions in 9.2.

The three main challenges facing procurement organizations today are:

  1. Spend Creep
  2. Supplier & Contract Compliance
  3. Technology to manage the process

In this video, Alexa explains the measures that have been taken to improve the products and meet these challenges for their customers.

Alexa also addresses the importance of mobility in requisitioning. PeopleSoft, using the Fluid User Interface (FUI), offers an intuitive user experience optimized for smart phones, tablets and even use on the desktop. Using FUI makes procurement a more efficient process from requisitions to approvals and all the way to the receiving of orders.

There have also been improvements to Supplier Contracts with the addition of the Supplier Contracts Workbench as well as the Sourcing & Contract Work Center. By utilizing these new features available to 9.2, customers are able to see vast improvements in their procurement organizations by reducing risk and improving data management.

PeopleTools Health Center Fluid User Interface (FUI)

There has been a lot of discussion around the new functionality and features that have been delivered with FUI since the release of PeopleTools 8.54. Now with the release of Tools 8.55, FUI extends itself into the technology area in several ways:

  • PeopleTools Health Center
  • PUM Dashboard
  • FLUID Dashboards
  • FLUID Related Content

Let’s take a look at the PeopleTools Health Center. The PeopleTools Health Center has dashboards for monitoring the health and performance load of the PeopleSoft architecture. The PeopleTools Health Center also provides alerts for performance issues and integrated logs.

Providing a FUI dashboard for the system health allows PeopleSoft Admins to easily and conveniently use their mobile device to ascertain the status of the solution. This information is vital to every organization and can now be accessed anywhere, anytime.

Users can drill down into each of the web servers, application servers and process schedulers for more details.

And users can drill down deeper into the log files.

You can find the PeopleTools Health Center using the Navigator on the left side of the landing page under the PeopleTools navigation.

HCM Image 15 and Tools 8.55

Have you noticed the changes and improvements after upgrading to Tools 8.55 and the latest HCM Image release? One of the changes you will notice immediately is that access to the classic menu has been removed. This change is designed to drive the FLUID user experience. Users can enter into the Manager Self-Service, Employee Self-Service, and Workforce Administrator FLUID landing pages.

Over on the far right hand side is the NavBar button. Clicking on the NavBar will expose a number of additional navigation options including Favorites, the Classic Home menu, FLUID Home and other personalized shortcuts.

All of this navigation has a much more FLUID and mobile feel designed for mobile devices but, as mentioned, the Classic Home is still available for those longing for the old look and feel.

The FLUID navigation can be found using the Navigator button. While this was there on previous Tools versions, with 8.55 there is more emphasis on FLUID as the starting point as opposed to the classic menu.

Cloud Versus Customization

In today’s market with a lot of conversation about clients moving their back office systems from an on-premise system to a cloud-based system, we are not hearing much about customization and the need to give up one’s customizations in order to move to the cloud. With cloud-based systems, it is a given that there is very little, if any, customization allowed. Often the most you get is the ability to “configure” the solution to your needs, allowing you to pick from the options that the vendor has given you to choose from. That essentially means that any client who is planning to move to the cloud has to be willing to use the system as it is offered, with little to no changes, in order to take advantage of the cloud benefits. To take this pre-requisite one step further, that means that clients will have to change their business processes to match the cloud-based system and the way the cloud system supports them. This can be a huge organizational change management challenge or even a business culture change for the business users who will be required to redesign their current business processes.

As a systems integrator, we are constantly recommending that companies limit their customizations as much as possible, in order to save on production support costs. The fact is that there are very few “vanilla” systems in production today. Most clients either need to customize to address unique items in their business or prefer to do some things different from the vanilla system process that is delivered, or not delivered, by the software.

The flexibility to choose customization strategically goes away when moving from on-premise to the cloud-based systems. It is important that all of the key stakeholders know this up front. Cloud solutions certainly have their advantages; however, you have to look even closer to make sure the functionality meets your business needs, as well as understand and accept the limitations. Sometimes the excitement of a new technology or solution can overshadow the drawbacks. Go in with your eyes open.

Oracle’s Larry Ellison Talks about the Future On-Premise & Cloud

Take 3 minutes to watch this video! Larry Ellison, Executive Chairman and CTO at Oracle, shares his thoughts on the future of on-premise and Cloud solutions. If you had any doubts about the viability of Oracle’s on-premise solutions, you won’t after these 3 minutes. Ellison starts by revealing that Oracle spends a staggering $5 billion dollars per year on R & D and that they are committed to providing improvements to their on-premise solutions; he specifically mentions both JD Edward’s products and PeopleSoft Financials. Oracle’s customers expect and deserve continued improvements to their products and Oracle is delivering. Ellison is honest and straightforward when he shares that it is in Oracle’s “selfish best interest” to continue to make improvements to their on-premise solutions because Oracle’s goal is to have customers “trust Oracle as a technology supplier.” They want customers for life.

Ellison very candidly shares that Oracle’s Cloud project has been ongoing for about 10 years and that he sees a gradual migration from on-premise solutions to Cloud over the next decade. But if & when this happens, it will be when it makes sense to each individual business so they recognize the need to offer choices to their customers.
